Studio Policies - Grace E. Studio

Rental Agreement

This agreement is between Grace E. Studio and the Renter who is booking our studio space. By completing a booking, you agree to the following terms and conditions.

Payments & Deposits

All rental fees must be paid in full at the time of booking to confirm and hold your reservation. By signing this agreement, you authorize Grace E. Studio to charge your card for any damages, cleaning fees, or overage charges without additional consent.

Cancellations & Rescheduling

Cancellations made 48+ hours before session: Full refund
Cancellations made 24-48 hours before: 50% refund
Cancellations made less than 24 hours before: No refund
Renter is granted one free reschedule with 48 hours notice
Reschedule must be within 1 month of original booking date
Grace E. Studio is not liable for building equipment failures, power outages, weather, acts of God, or emergencies
We reserve the right to cancel any booking, refund payments, and assume no further liability

Studio Rules

Violation of studio rules will result in a $500 minimum charge and immediate termination of rental with no refund.

DO NOT DRAG/SLIDE FURNITURE ON FLOORS. ALL FURNITURE MUST BE LIFTED.
Renter must be present for the entire duration of the rental
No smoking or vaping in the building or within 20ft of any entrance
Candle use is permitted with caution and must be extinguished before leaving
No food or drinks on or around furniture
No illegal drugs
Children must be supervised at all times
No pets allowed in The Joyce Loft. Pets are allowed in the Storefront studio as long as they are potty trained. The renter is responsible for any damaged to the studio or furniture from pets.
Studios have varying lighting conditions depending on time of day, weather, and season - no refunds for lighting dissatisfaction

Rental Time & Overtime

Rental time begins and ends at your scheduled times
Your rental time includes setup and breakdown
If you are more than 20 minutes late, the rental and fee will be forfeited with no refund
Studio must be cleaned and vacated by the end of your rental period
Grace period of 5 minutes after your end time
After 5 minutes: $5 per minute overtime charge will apply
Early arrival or extended hours must be arranged and paid for in advance
No drop-off or pick-up of equipment outside rental time without prior arrangement

Cleaning & Trash

Leave the studio in the same condition and arrangement as you found it
All personal items must be removed by the end of your rental
Items left behind for more than 7 days will be discarded or kept by Grace E. Studio
Trash should be placed in provided bins
Minimum $50 cleaning fee if studio is not left clean and organized
You are responsible for all damages including floors, walls, windows, furniture, and equipment
Damage invoices must be paid within 5 business days

Waiver of Liability

Use of Grace E. Studio premises and equipment is at your own risk. You agree that Grace E. Studio will not be held liable for any direct, indirect, incidental, or consequential damage, injury, or loss to you, your party, or possessions while on the premises.

You hold harmless and indemnify Grace E. Studio and its owners, agents, representatives, and employees against any suit, claim, loss, accident, judgment, fine, injury, or damages. Grace E. Studio is not responsible for any theft, injury, or other incidents during your rental.

If you or anyone in your party damages anything on premises, you are responsible to pay for all damages.

Professional Conduct

This is a shared professional studio space
You are solely responsible for the conduct of all persons in your party
Grace E. Studio may have a representative present at any time
Disruptive, dangerous, pornographic, illegal, or negligent activities will result in immediate termination with no refund
Grace E. Studio assumes no responsibility to monitor or intervene in your activities

Age of Models

You are solely responsible for verifying that all photographic subjects are of legal age. If models are under 18, you must have written parental consent. Grace E. Studio reserves the right to demand proof and end activities if legal age violations are occurring. We are not liable for invalid IDs or age verification.

Insurance

Businesses, corporations, production companies, and professional photographers may be required to present a certificate of general liability insurance naming 567 Main Street, Hamilton, Ohio as additionally insured. Minimum coverage: $400,000.00 per occurrence and annual aggregate.

By booking, you state that you carry appropriate liability insurance and will provide documentation if requested.

Equipment & Furniture

We provide equipment and furniture in good working order
We make no guarantees as to functionality or suitability for your specific purposes
Notify us immediately of any malfunction or damage
Complimentary WiFi is provided (connectivity not guaranteed)
There is no studio phone line - bring your cell phone

Damage & Repairs

You are solely responsible for any damage to our property or equipment during your rental. This includes but is not limited to:

Spills, stains, or marks on furniture
Damage to floors, walls, windows, or fixtures
Damage to painted surfaces
Equipment malfunctions due to misuse

You authorize Grace E. Studio to charge the card on file for all damages and repair costs.

Governing Law

This agreement is governed by the laws of the State of Ohio. Any disputes will be resolved through binding arbitration in Hamilton, Ohio under the rules of the American Arbitration Association.
